Hypertune email plan: who does what

Who does what, and the recommended email structure · 25 September 2026

This is one document for everyone, so each side can see what the others are doing. It replaces the Klaviyo handover. Background and numbers are in the email report. If anything changes, a new version goes out and the newest one wins.

How the work flows: Vinson writes the copy, the design team makes two templates, Kamil sends the data Klaviyo needs, and Gavin builds and tests in Klaviyo. Austin approves.

Owners: Kamil is on everything email-related, including Stripe settings and the data Klaviyo needs. Kevin is on the website only: if it changes the website, it is Kevin's. Where Austin's assignment differs from an earlier split, it is flagged and Austin's call stands.

What Austin decided on 25 September

  1. Start again. Every flow is rebuilt: short emails, one job each, one button. Nothing is patched.
  2. Simple emails. Half a page at most, reading like a note from Austin. No long designed scrolls.
  3. Sender: "Austin from Hypertune" on every email.
  4. Failed payments: a button to Hypertune's billing portal in every email, emails on days 0, 3, 7 and 14, wording by decline reason, and no more restarting on every retry.
  5. Yearly early-bird subscribers renew at $47.88. No price rise for anyone actively paying on the early-bird plan.
  6. Campaigns never go to current payers or yearly subscribers. Standing exclusions and Smart Sending on everything.
  7. Cancel emails use the answer from the in-app cancel survey. Emails stop asking why people left. "Too expensive" gets 50% off; the free month and the 100%-off offer are dropped.
  8. Trial emails: no "watch the tutorial" and no Discord button. The app is easy enough to explain in three lines.
  9. Sign-up emails: people who didn't sign up through the trial link stop getting trial emails.
  10. Klaviyo's revenue figure is not trusted. Each flow is judged on the business number it exists to move, and on payments that follow a click, checked against Stripe.

Settled after the call, 25 September

  1. Stripe retries for 14 days. Failed-payment emails go on days 0, 3, 7 and 14.
  2. Owners: Kamil for everything email, Kevin for the website only (see above).
  3. Campaigns: the four-week trial goes ahead, to people who are not customers only. Existing customers get a separate campaign later.
  4. Stripe's renewal reminder is believed to be on. It is replaced by the Klaviyo version; Austin to confirm what Stripe sends today.
  5. Monthly-to-yearly upgrades and the day-14 after-purchase email: Austin to confirm.

Suppressed profiles

About 25,000 Klaviyo profiles were suppressed by the team in two rounds: 8,547 on 26 June and 16,377 on 6 August. The August rule was "never paid and no recent email", with no check on whether people opened anything. The likely reason is the Klaviyo plan, which allows 15,000 active profiles; 15,924 were in use at the audit time.

Manual suppression is not the same as an unsubscribe. Gavin confirms that the original consent is still valid before anyone is unsuppressed. Two catches:

Most of the suppressed are people who trialed and never paid. The trial users report covers them and the plan to bring them back in waves.

Who does what

Gavin · Klaviyo

First, this week:

  1. Attribution list. Send the names and emails of everyone Klaviyo credits to the failed-payment flow in the last 30 days (49 payments, $359.01), so Austin can check them in Stripe.
  2. Explain the Figma email designs: which flow each one was for, and which were campaign templates.
  3. Explain the "Became paid" emails: why the three rewrites were never published.
  4. Smart Sending on for every marketing flow and campaign (see the structure table for the exceptions).
  5. Campaign exclusions, saved as the default for every campaign:

- Every profile whose current subscription status is paying or trial.

- Received any flow email in the last 14 days.

- Every yearly subscriber.

- Until Kamil's status field is live, use a checked export. Do not rely on a recent-payment rule to identify current customers.

  1. Fix the segment IB // Paid & Cancelled users. It currently has 4,092 profiles and includes current payers because its first event group accepts a first-paid event as an alternative to a cancellation. Redefine it as: cancelled in the last 90 days and Successfully Paid zero times in the last 35 days.
  2. Successfully Paid as the conversion metric on the account and every flow.
  3. Sender name "Austin from Hypertune" on every flow.
  4. Delete the 13 draft flows that never sent.
  5. Switch off the old account-created flow before anyone is unsuppressed.
  6. Unsuppress every paying customer manually suppressed by the team (about 480). Never override an unsubscribe, bounce or spam complaint.
  7. Request transactional status from Klaviyo for the failed-payment, trial-ending and renewal emails. Once approved, those messages can reach profiles manually suppressed from marketing. Gavin confirms which suppression reasons still block delivery.
  8. Explain the suppressions: confirm the 26 June and 6 August rounds were about the plan limit, and price a temporary step up for the trial win-back waves.

Rules for every build: one button and one destination per email; every link tagged utm_source=klaviyo&utm_medium=email&utm_campaign=<flow>&utm_content=<email>; "Hi there" when there's no first name; no typed prices or dates, use event or profile variables; payment and recovery flows exit on Successfully Paid; use the flow-specific exits in the rebuild; put a test profile through every flow, with desktop and mobile screenshots sent before going live.

Agree the exact event and property names with Gavin before either of you builds, so they match.

Kevin · website only

  1. The pricing section anchor on hypertune.gg that the "Pick my plan" buttons link to.
  2. A support page that emails can link to, instead of Discord.
  3. The download page signed-in users land on, as the fallback if the installer link can't work from email.

Design team · two templates

Two reusable Klaviyo templates, following the spec at the end of this document:

  1. Founder note: for sign-up, trial, cancel, after-purchase emails and campaigns.
  2. Account notice: for failed payment, renewal and trial ending.

Deliver both with editable live-text blocks, plus one desktop and one mobile mockup of each.

Austin

  1. Confirm Stripe's renewal reminder is on, so it can be switched off the day the Klaviyo version goes live.
  2. Confirm how a monthly subscriber upgrades to yearly, and whether unused days are credited, so the day-14 email can go ahead.
  3. Pick the offer for the trial win-back: 50% off with GAMER, another free trial, or a support check.
  4. Decide whether to pay for a temporary Klaviyo step up for the win-back waves, once Gavin has the price.

Vinson

  1. Copy for every email: done, in the flows rebuild.
  2. An audit of what the Stripe connection and the custom integrations actually send to Klaviyo, and what's missing.
  3. The attribution check: Klaviyo's credited payments against Stripe, starting with Gavin's list.
  4. A monthly scorecard on the measures at the end.

The recommended email structure

Nine flows and a campaign rule. Nothing sends more than three emails except failed payment. The full copy for each is in the flows rebuild; the tables below are the short version.

Smart Sending is off while account notices are built and for any email that follows another by minutes. Once Klaviyo approves a message as transactional, Smart Sending does not apply to it.

Why: among the 395 ended seven-day trials since 5 August, 40% ran the optimizer and 38% did it in the first hour. People who ran it twice or more paid most often, but that group has only 16 trials.

The flow starts once per customer per 30 days, however many retries fail. A separate first email goes to trial users whose first charge failed. The 48-hour split and the free-month test go.

The subscription version starts by thanking them for paying. The early-price line and "Keep my plan" button stay out until Kamil confirms that restarting before the plan ends preserves that price. "Too expensive" gets one reminder on day 5. No email asks why they left.

Campaigns

Austin's question on the call was fair: how many campaigns before we know they don't pay? So campaigns run as a four-week trial, approved 25 September:

The standard: stupid simple, half a page. Nobody reads long emails, and most people open them on a phone.

Rules for both

  1. All text is live text, never an image. The email has to read with images off.
  2. 600 pixels wide. On a phone the button is full width, at least 44 pixels tall, and sits in the first screen.
  3. One image at most, only if it helps (for example the Boost screen). No product collages, no creator photo strips, no follower counts, no pro player names.
  4. No social icon row. The footer holds: "Austin from Hypertune", support, "Manage or cancel your plan", unsubscribe and the address, in small text.
  5. Subject lines under 40 characters; preview text always set.
  6. Works in dark mode.
  7. Keep the V2 wordmark and button colour; drop the rest of the V2 layouts.

How we'll judge email from now on

Why Klaviyo's number is wrong. Klaviyo credits an email with any Stripe payment made within 5 days of opening or clicking it, including automatic renewals and card retries, and Apple Mail's automatic opens count as opens. In the last 30 days the flows were credited with 54 payments worth $434.46, 49 of them ($359.01) in the failed-payment flow. The failed-payment credits average $7.33, the size of ordinary monthly charges. That is consistent with many Stripe retries succeeding, but does not show that the emails caused the payments. Austin's check of the 8 September campaign found credited payers who had been subscribed since July.

Gavin: in Klaviyo's attribution settings, exclude Apple's automatic opens, and count clicks only if the account allows it.
